GDPR Notice for Applicants

1. Purpose & Lawful Basis

We collect and process personal data from applications to manage admissions and meet our legal obligations under education and safeguarding legislation.

  • Legal obligation – to comply with statutory duties
  • Public task – tasks carried out in the public interest/official authority
2. How Long We Keep Your Data

Unsuccessful applications: retained only as required to meet statutory or regulatory requirements.

Successful applications: data becomes part of the student record and is kept for the duration of study and in line with our retention policy thereafter.

GDPR Notice for Parents & Pupils

1. The Data We Collect
  • Personal details (name, address, contact info)
  • Characteristics (e.g., language, nationality, FSM eligibility)
  • Attendance, assessment, behaviour records
  • Safeguarding, medical and health information
  • SEN details; photographs and activity participation
  • Parent/carer and emergency contact details
2. Why We Use This Data

To support learning and welfare, monitor progress, provide pastoral care, fulfil safeguarding and health duties, assess educational quality, and meet legal obligations.

Lawful bases: legal obligation; public task; and consent (for optional uses like publicity photos – you may withdraw consent at any time).

3. How Long We Keep Data

We keep data only as long as necessary to meet statutory and operational needs. When a pupil leaves, key records follow to the next school; others are retained or securely deleted under our retention policy.

4. Sharing Information

We may share data with the DfE, Local Authority, exam boards, NHS/school health, social care where required, and trusted software providers under robust data protection agreements. We do not share beyond this without consent unless required by law.

1. The Data We Collect
  • Contact details; employment history, qualifications, references
  • Identity & right-to-work documentation
  • Pay, tax, and pension information
  • Performance, appraisal, and attendance data
  • Next of kin and emergency contacts
  • Medical and absence information
  • DBS checks; equal opportunities monitoring
2. Why We Use This Data

To manage recruitment, employment and payroll; ensure safeguarding, health and safety compliance; support workforce development and performance; and meet legal obligations.

Lawful bases: legal obligation; public task; contract; and consent (for optional items such as publicity photos).

3. Data Retention

Unsuccessful applicants: retained only for the period necessary to meet legal or recruitment review requirements.

Successful applicants: information forms part of the employment record and is retained for the duration of employment and in line with statutory retention thereafter.

4. Data Sharing

We may share data with the DfE, Local Authority, HMRC, pension providers, HR/payroll software, occupational health and DBS services, and regulatory/safeguarding bodies as required by law. We do not share beyond this without consent unless permitted by law.
