  • Contact details (name, address, telephone number, email)
  • Employment history, qualifications, and references
  • Proof of identity and right to work documentation
  • Information about pay, taxation, and pension contributions
  • Performance, appraisal, and attendance data
  • Next of kin and emergency contact details
  • Medical and absence information
  • Safeguarding and criminal record (DBS) checks

2. Why We Use This Data

We process this information to:

  • manage recruitment, appointments, and contracts of employment;
  • maintain accurate staff records and payroll;
  • ensure compliance with safeguarding, health, and safety legislation;
  • support workforce management, professional development, and performance; and
  • meet legal and regulatory obligations.

Our lawful bases for processing are: Legal obligation (employment, tax, safeguarding), Public task, Contract (employment/engagement), and Consent (optional items such as photographs/media use).

3. Data Retention

If your application is unsuccessful, we retain your data only as long as required to meet legal or recruitment review obligations.

If your application is successful, your information will form part of your employment record and be retained for the duration of your employment and in line with statutory retention periods thereafter.

4. Data Sharing

We may share relevant data with:

  • the Department for Education (DfE);
  • the Local Authority;
  • HM Revenue & Customs (HMRC);
  • pension providers;
  • payroll and HR software providers;
  • occupational health and DBS service providers; and
  • regulatory and safeguarding bodies, where required by law.

We will not share your information with anyone else without consent unless the law allows us to do so.

5. Your Rights

Under data protection law, you have the right to:

  • access your personal data;
  • request correction of inaccurate data;
  • request erasure of certain data;
  • object to or restrict processing in certain cases; and
